Jurgen has already given you plenty of helpful information. You need to do the needful and thoroughly test this process out yourself before expecting the SCN community to resolve your issue. The retention period needs to be whatever it should be for your specific company business and legal needs/requirements.
If, after researching if OSS notes need to be applied, and you still are not getting an data to archive, you may need to open up an OSS message for assistance.
